Todas las plantillas gratuitas tienen la misma forma: tu nombre, el suyo, unas líneas y un total. Esa forma no está mal, y es también la razón por la que tantos autónomos acaban haciendo tres rondas extra de trabajo gratis. El documento decía cuánto cuesta el trabajo. Nunca dijo cuándo deja de valer el precio, qué no incluye, cuántas rondas de cambios entran ni dónde acepta el cliente todo eso.

Esos cuatro campos son toda la diferencia entre un número en un correo y un documento que zanja una discusión seis semanas después. Por eso aquí se piden, y por eso cada uno que falta viene con lo que probablemente te va a costar.

Y hay algo que la categoría tiende a difuminar: ¿es un precio cerrado o una estimación? Un presupuesto te compromete. Una estimación puede variar, y decirlo desde el principio convierte un cambio posterior en una conversación y no en una pelea.

  2. Pick where you quote from

    That sets the currency, the tax name and rate, and the date format. The same country rules the invoice tool uses, because a quote quotes money in the same place an invoice bills it.

  3. Fill in the lines, then the scope

    What the price covers, and what it does not. The second list is the one that stops a project growing for free, and it is the field almost every template leaves out.

  4. Read the check and send it

    Each finding names a specific way this quote could cost you money. Then download an A4 PDF with a block for the client to sign.

Where quotes go wrong

None of these are about design. They are about the sentences that were never written down.

  • The price never expires

    A quote is an offer. Without an end date it stays open while your costs, your calendar and your rates all move.

  • Nothing is listed as excluded

    Scope creep does not arrive as a demand, it arrives as a reasonable question. A list of exclusions is what turns that question into a new line item.

  • Revisions are unlimited by omission

    Nobody agrees to unlimited revisions. They just never agree to a limit, which is the same thing.

  • No deposit

    On anything substantial, a deposit is normal practice. It also quietly identifies the clients who were never going to pay at all.

  • Nowhere to accept

    An agreement reached on a call is real, but it is not evidence. A signature line costs nothing and settles the question.

  • The word quote used for a guess

    If you call a moving number a quote, you have committed to it. If you call a fixed price an estimate, you have invited a negotiation.

The difference between a quote and an estimate

An estimate is a considered guess. It says the final figure may move, and stating that clearly is what makes a later adjustment a conversation rather than an accusation. A quote is a fixed price. Once the client accepts it, that is the price, whatever the work turns out to involve. That is not a bad thing: a firm number is easier to say yes to, and it is often what wins the job. It just has to be a number you can live with. Most free templates use the two words interchangeably, which leaves both sides holding a different document. This tool asks first, and then commits to the answer in the wording. It is the same discipline as the invoice tool: the document should mean what it says where it is being sent.
